Provide administrative and clerical service in order to ensure effective and efficient operations of the team; Learn and practice Procurement software (JDE) at the required level in order to perform the duties; Promote and uphold the Thiess Mongolia LLC principles as part of the Team to shape the appropriate culture across the Purchasing Team; Update job knowledge by actively participating in educational opportunities within the team. Archive/keep track of necessary documents Process OR in the system, as required Process Purchase Orders for approved requisitions in a timely manner as required. Work with suppliers’ quotes for items/services, analyse competitive pricing, quality, delivery and services, evaluate cost comparison table Ensure raising/revising quality POs and monitor them until the order completes through an on-going and regular expediting process Weekly Account Payable Work Flow (APWF) reconciliation Expedite Open Overseas order logistics and customs clearance document preparation. Ensure compliance to Thiess purchasing procedures and guidelines Improve JDE system skills through “on going self-trainings” and exchange experiences with team mates. Prepare reports from JDE

Administer on-boarding process of expatriate staff in terms of relocation services such as work & visa permits Coordinate visa arrangements for expatriate and local staff Ensure appropriate types of visas are applied and issued in a timely manner Follow up on visa status, ensure all expatriate members are in compliance in terms of visa, residency, employment permits, Ensure ratio of national and international staff is in compliance with Mongolian requirements; Take necessary measures, if ratio is out of compliance Inform all expat members and managers on any changes concerning immigration and visa related matters; Maintain up-to-date list for all embassies & consulates of Mongolia abroad and facilitate expat employees in applying and obtaining visa in their country of residence or nearest country with Mongolian Embassy/Consulate Coordinate & communicate with state agencies and entities such as the Ministry of Foreign Affairs, Immigration Agency and the Centre for Employment Service to ensure compliance with requirements on submitting required documents for obtaining appropriate types of visa, work permits and residence cards; Assist expatriate members in applying for and obtaining Mongolia driving license Identify training needs of all staff and initiate, administer and monitor the training and development aspect of country office staff Prepare Training Plan for Thiess Mongolia office and organise training accordingly Conduct HR trainings as required Organise and coordinate Welcome to Thiess onboarding program for all new staff
